Darton Council meeting minutes 10 Feb 2016 Present: Laura, Peter, Helen, Ben, Dave, Richard, Charly, Anna, Stephen, Jenny, Tam, Selwyn, Phil (please let me know if I missed someone) Meeting opened 7.26pm December minutes tabled by Laura, seconded Richard, passed (no January council as bunch of the Shire was at CF) **Officer reports -Seneschal (Laura) Just taken over office, mwahahah. -Reeve (Helen) Reeve’s Report December 2015 Kiwibank Account – Opening Balance $4,158.79 Payments made into account: Nil Payments made from account: SCANZ – Event Levy – DA 2015 $18.00 KINGDOM – Event Levy – DA 2015 $35.00 Richard Dagger – Refund for Materials $486.40 $539.40 Balance: $3,619.39 General: Paid the Kingdom ($35.00) and SCANZ ($18.00) levies for DA 2015 (on 1 December 2015 so will appear in December report). Paid Richard for the purchase of wood as approved at October council Reeve’s Report January 2016 Kiwibank Account – Opening Balance $3,619.39 Payments made into account: Nil Payments made from account: Nil Balance: $3,619.39 General: Nil incoming or expenditure this month. Very quiet. -Marshal (Stephen) Heavy Combat training continues most Sunday mornings, with an average of 3 participants. No injuries or other events of note worth reporting. Rapier practice is now occurring about ever other or every third Wednesday, partly due to some of the participants being on shift-work. When rapier is "on", we get about half a dozen participants. No injuries or other events worth noting. -Captain of Archers (Selwyn) After a break over Christmas, archery is happening again. No injuries, will continue to have practice on Sundays. **Events -Tapestry tour Tapestry arrives Monday 4th of April, will have a LOTR-tastic tour of Wellington. Tapestry to be displayed on Tuesday the 5th of April, and to fly to CHCH 6th of April. Discussion around what LOTR things to show off, what kind of event to have. Suggestion: Casual Tuesday afternoon/evening thing, maybe a pot luck dinner? Non garbed, NOT an official event. Laura to put together some advertising - really only of interest to SCA people. As of September 2015 we authorised $130 to donate to the tour to get the tapestry to Wellington. This was shown in the October minutes as paid. -Featherston Feast Sancha is keen to have another Featherston feast. Usually around the 25th of June. No event bid received. -Darton Anniversary Selwyn to talk to Brookfields, possibly pencil book date. B&B Southron Gaard possibly interested in attending. No event bid received. Mention of a brewstravaganza with Asbjorn? -In town feast (Richard) Fair bit of interest. Looking at Saturday in April/May. Spoke about having a child friendly event. No event bid received. -Collegium Definite interest. Discussion on location, possibly Newlands community center as we have used the site before. No pressure on the Barn being available. Date? Pot luck type event again? **What kind of events we'd like to have this year? -Selwyn talked about using Waiuru station as a location for a North Island War event. -Flight shoot @Carterton airport to see just how far arrows go. Early May. Must check with Airport first to ensure safety - projectiles around planes not a good idea. (Selwyn) -Darton Corsairs invading Nelson (Selwyn) -string day -fitting day -smaller feasts More dedicated Days of Fun, to include focuses such as: -smithing coat hooks -making canvas bags for Shire kit (bits of sunshade, tables, etc) -chests (Braithwaite and other styles) **Discussion on proposed policy on Hamlets Not affecting us directly, really, but good to have info. http://lochac.sca.org/seneschal/hamlets.php (Upon further reading, this is incorrect - Shires can have Hamlets too) Minimum of 5 members, heraldry registered to parent group. A Hamlet may not have a bank account, or hold Kingdom funds Essentially a Canton without officers. Good way for existing group to transition to the SCA. **Discussion on facebook group, approving members, cross posting Still important to cross post to email list. If people have asked to join an admin will look at mutual friends, location etc. If no obvious connection and not obviously a spambot, will send a message to confirm real person interested in SCA. General approval of this approach. **Discussion on website moving to WordPress William de Cameron has offered to teach a few people to use Drupel General agreement to change, Charly raised the question of security (as a steam punk group had difficulty recently with WordPress) Laura to talk further to the Masonry team about moving to WordPress. Need to look at content. (Jenny, you are an amazing human, thank you for keeping the ball rolling on this one) Selwyn happy to write an archery page Will need to change business cards/put a redirect in place **Personal details and the wide world Reminder to all - DO NOT post personal details or photos on the internet/other without enthusiastic consent. **General business *spending group money as per Kingdom - training, infrastructure, demos, advertising Laura will find out how much DA and feast cost for the last couple of years, suggest that as the shire "float". *first aid kit for shire Where is the current one? (Laura to investigate) What do we need in a first aid kit? Do we need a first aid kit or a "Useful bits" bag? Is it more useful for the people with first aid certificates and training to have the kits? Should we have multiple kits for different locations? Worksafe NZ do not recommend having panadol in a work first aid kit (https://www.business.govt.nz/worksafe/information-guidance/all-guidance-items/first-aid-for-workplaces-a-good-practice-guide/first-aid-2009.pdf), maybe a "useful bits" bag would be more useful. Should also include sunscreen, insect repellent, trauma shears. Laura to talk to Kingdom Chirurgon to see what is required. Further discussion to happen on list/facebook page after talk to Kotek to see what to include in a useful stuff bag. Money to go towards plasters etc every year from shire? *Container at CF Keen to investigate whether it's a possibility, will need to go into detail further if the site says yes. Further discussion to include: -how much is initial outlay and site rent per year -Semi private venture vs Ildhalfn & Darton charging for storage -what does Darton store in the container (do we make new infrastructure) -what do we charge for it if we rent out space -how does Darton raise funds for the yearly storage fee Dave may be keen on running it if he can rule with an iron fist *Shire to pay for plastic trestle tables Would be stored with the Quartermaster and available for use outside Shire events Idea floated at this stage, can talk to financial committee if good price comes up. Meeting closed 8.11 (so much for my less than 10 minute goal) After meeting thoughts from the Seneschal: -Will Shire cover transport costs for Shire gear to CF? Will talk to Tam about cost About 1/3 of the stuff that goes on the trailer is Shire gear but not everyone in the Shire goes to CF. Spoken about in December meeting. -Archery - can we extend lease for Karaka park? Will talk to Selwyn -Laura to look at a calendar for the new website for 2016/2017 to pencil in major events so we have an idea of what is coming up -Thoughts on things to put in "useful bag" to follow -Need to replace one of the big black Shire kitchen containers -Talk to quartermaster and look at Shire gear to see what else needs maintenance/replacing
