Council meeting 11th May, 2016 Meeting opened 7.28 Present: Peter, Helen, Stephen, Tam, Zane, Jenny, Ben, Anna, Richard, Laura Minutes from last meeting tabled by Laura, passed by Richard Officer reports: Seneschal: I will be overseas for all of September, so I will need a deputy to make sure the wheels don't fall off in this time. There are no events planned at this stage, so it shouldn't be an onerous task. Council in July will fall the week between Collegium and my wedding, I am still happy to run this meeting. The wheels are still on, yay! Reeve: Opening balance: $3619.39 No income this month $180 cheque for Churton Park Community Centre hall hire Current Kiwibank account balance $3439.39 Still to be presented – bond for Collegium hall hire, $250 Helen will be out of the country from late July to Early September. She will need a volunteer deputy while she is away as DA will occur during this time and payments etc. will need to be monitored and recorded. Jenny to oversee DA payments on Helens behalf. Marshal: Richard is a big meanie. No serious injuries, Heavy and Fencing continue. Captain of Archers: We have archery. No one gets hurt. Full report will be sent to Kingdom shortly. Peter's sword talk Zane - calligraphy General Business: Tables for the shire Laura proposed we purchase 6x $48 plastic trestle tables (total spend $288.00) to use for Darton events. To be stored with the quartermaster. Jenny seconded. These tables are to be stored with the quartermaster. The quartermaster can use these tables as they see fit for non Shire activities as they store them. There was some discussion on who could utilise Shire resources and to what extent without there being any question of personal gain. Members of the Shire can ask to borrow resources from the Shire for events that will promote how awesome a group of people we are. We should get rid of stuff the Shire doesn't use!! Maybe a less fun Day of Fun to sort the Shire gear? Looking particularly at what is in use and what is in good repair. Selwyn got costs for archery gear, the shire to cover $400. From Selwyn: "Arrows $150 per Doz x 2 ($300) Target Backstops $40 x 2 ($80) Paper Targets $5 x 4 ($20) Prices are approx as shipping may alter final price $400 is total commitment asked from the shire for this - any additional expenses will be met by myself. Arrows and Backstops I am sourcing (arrows from Hungary)/making myself (target backstops) and will provide receipts once final prices are known. Paper targets are being sourced from local supplier or Archery Direct in Hamilton." To be fletched in Darton colours and marked as Shire Arrows. Meeting closed 7.46 After meeting thoughts: -Discussion about moving marquee at Canterbury Faire site. Discussion is being forwarded to the list and is on the CF photos and discussion Facebook page. This will affect those camping with Darton at Canterbury Faire. **As 22nd May - War Field is being moved, marquee is not moving** -The Friends of Houghton Valley are looking at doing a fundraising event around 21st of June - this may have a medieval theme to it, I don't have any details just yet. If you are keen, please let me know and I will pass you details for the organiser. (the following from the April meeting) -I am slack, haven't written up "useful stuff bag" ideas. No luck locating the Shire first aid kit, hopefully the Great Organise will turn it up -There will be a Great Organise at some point - our lovely Quartermaster may need a hand to rationalise Shire stuff.
