Council Minutes 13 February 2019 Meeting Opened: 7.35pm Present: Helewys, Peter, Madeleine, Bernard, Kjartan, Kazamera, Gordonius, Jennett, Diego, Aliena, Jarnulfr, Thora, Thomas, Johanna, Catherine, Miles, Chris, Ali & Kaia Apologies: Luan & Robyn (reports emailed) Minutes from last meeting dated 12 December 2018, tabled by Medeleine, Seconded by Gordonius, passed with only comment “hail new leader and hail the old leader”. Officer Reports: Seneschal –Helewys My appointment was officially announced by Madeleine on 17 January 2019, and nothing has gone wrong so far. Reeve – Robyn Opening Balance: (30 November 2018) - $3238.98 Income during December: $953 (Thorndon Fair) Income during January: $220 (May Crown) Expenses during December $175 (Thorndon Fair) and $181 (Levies) Closing Balance: (31 January 2019) - $4055.98 Comments: Robyn’s term expires in August 2019. Please have a think about taking on this position. We remind everyone after May Crown is done. Marshal – Diego: Fighting has been happening, mostly out of town, and travelling to CF. No local injuries that he is aware of. Captain of Archers – Luan (via email): I'm not really CoA anymore - been one too long for the Kingdom to even remember  But, Archery happens, We had fun, No one got hurt Scribal Warden – Jarnulfr: Communicated with the Lochac Scribal Head. The database has now been corrected with the incorrect information and we will now be getting stuff assigned to us to work on (calligraphy and painting). Has some AoA blanks that could be started if needed. So stuff is happening. Herald – Bernard: Not much to report. Still trying to sort out the populace badge, as there is a conflict with another kingdom and communication seems to be difficult regarding getting permission to conflict, it seems best to proceed with the alternative badge design – gold hunting horn with gold circle/annulate. Will have paperwork started for next council for the alternative badge. Events: May Crown 2019: Stuff is happening – bunting has been done; banners are in the process of being completed. Tokens – tested the stamping and about 1/3 are sewn, Brookfield’s have agreed to allowing a working dog on site. Cooks are on track with their preparations etc. Bookings are open, Paypal is working. Wood for the new Yurt has been partially cut, lattice tying workshop will be organised soon. Yurt designs / stencils to be sorted. T-shirt design is still being developed. New Events: Mid-year Stabby-thon Kjartan is wanting to organise a weekend (all day Saturday, and Sunday), non-garbed event in which fencing, more fencing and still more fencing happens. Proposed that event will happen in 2 nd half of June – exact date TBA. Expected cost will be around $15 (member) or $17 (non-member) to cover meals (Saturday lunch and dinner and Sunday lunch). It is envisaged that while those that are participating in the Stabby-thon will not have to be concerned with organising meals and cleaning up afterwards (so more fighting can be done), that others will assist in the area of preparing meals and clean-up and also doing other “stuff” in the house (for instance garb making, other Arts & Sciences stuff) and socialising. Formal Event proposal form to be presented at next council meeting. General Business: Proposed Crown event calendar changes – it was agreed that there is no need for the Shire to put in any feedback for these proposed changes. If anyone had strong feelings either way, they can make the submissions on their own behalf. Email from 2 sisters who will be travelling to Wellington in July/August – would like to visit our group, would this be acceptable? No objections to having these ladies visit on a usual A&S evening. Request from Madeleine that reimbursement for damaged arrows incurred at Thorndon Fair be approved – exact costs still to be advised. Agreed by all that this is reasonable, provided the costs are also reasonable. Darton Anniversary – as yet no-one has indicated that they are prepared to run this event (too busy with May Crown to even think about this, at this time). Agreed that Helewys to contact Brookfield’s and book a weekend in August (but not the 1 st weekend). Jennett – advised that she is running a “Fitting weekend” for making body blocks, to be held at Sherwater on 30 March and at her own home on 31 March, for anyone that is interested. Will advise what you need to bring closer to the date. Gordonius – commented that as we have a few new people who are learning Fencing (Chris M, Miles and another), that in particular the new and current fencers think about any way in which the teaching / methods being currently taught could be changed – e.g. should we develop or use a programme that will make fencing accessible for new people, while still challenging the more senior fencers?
