Council Minutes 10 April 2019 Meeting Opened: 7.35pm Present: Helewys, Peter, Madeleine, Bernard, Kjartan, Kazamera, Gordianus, Jennett, Diego, Aliena, Iarnulfr, Thora, Thomas, Johanna, Chris M, Ali, Johanna, Fiora, William de Wyke, Corrina & Asborjon Minutes from last meeting tabled: Gordianus Seconded: Iarnulf Comments: None Officer Reports: Seneschal –Helewys Reeve’s position I have received a reminder from the Kingdom Exchequer that Robyn’s term as Reeve expires on 1 June 2019. I have requested an extension for 2 months to 1 August 2019, because of May Crown. However, I need to advertise the position very soon so that there is time for feed-back and commentary to be made, and that the new Reeve will have the position confirmed after the feedback / commentary period and the hand-over can be done all before the deadline. If we do not have a new reeve, the group will not be complying with Corpora requirements. Helewys requested that member’s think about whether they would like to take on this position, and if they have any questions please ask Robyn. Outstanding matters Looking a back a past minutes over the year, it appears that the following are outstanding: Replacements for breakages of arrows from Thorndon Faire – Invoices from those who supplied the arrows that were broken need to be provided to me for approval and refund (December 2018); - Received request from Bernard for refund of $70 (14 arrows @ $5 each). Waiting on request from Luan for his costs. Candelabras / lights – no receipts for materials have been provided so payments can be made (December 2018, November 2018 – approved $200 for this project & October). Waiting for receipts etc from Diego and Luan & Peter? Reeve – Robyn Opening Balance: 28 February 2019 - $5,112.98 Income: May Crown - $3,734.00 Expenses: None Closing Balance: 31 March 2019 - $8,846.98 Comments: All income from May Crown. Doomsday Report has been filed/submitted. Comments – Approved by all. Marshal – Diego: New Rapier rules have been released. Authorisation cards slow at being issued. Let Diego know if you are having any issues with these. Lists will bring outstanding cards to May Crown. Scribal Warden – Iarnulfr: Nothing to Report. Herald – Bernard: Nothing to Report. Events: May Crown 2019: 116 People booked. Stuff is happening – stamp for the tokens works. Rose tokens being done; Yurt bands need stamping. Volunteers needed for stuff – please contact Madeleine if you can assist in any way and she will give you a task that needs to be done. Letters of Intent to compete for Crown are to be sent to their Majesties. Feast gear and bedding for loan – please bring extras (if you can) to be used for loaner gear. Robyn – A&S completion for the event – Games & Toys, Liquid & 14th Century. Token with Bells need to be made (requirement for the completion). Madeleine made a request for donations that can be used as Prizes for the A&S competitions, please contact her or Robyn with details. Madeleine advised that one of the attendees for May Crown (William) is getting into Portrait photography, and is making himself available to anyone who would like “a professional portrait” to engage his services. Also there will be a dog on site (approved by Brookfield’s). Darton Winter Stabbython: Details for this event have now been made official on the Kingdom Seneschal List, and is being advertised by email on Lochac-Announce; Kingdom Calender, Pegasus. Anyone creating an event on FB for this – Gordianus. Payment – cash at door on day. Darton Anniversary: Brookfield’s has been booked – 23 – 25 August 2019. This is our 20th Anniversary. Any volunteers to Steward this event? New Events: Sherwater – Collegium and other matters Helewys received an email from Marienna Jensdatter: “The Sherwater brigade have been talking a bit about things we want to do in the next year. As you will have seen we are adding a monthly A&S thing at Philip and Lucia’s place. Another thing we were talking about is recruiting, and raising our profile out here. Ideas like being visible at the daffodil festival in Carterton, and maybe the Santa parades. Doing a shoot-a-knight at the street party in Masterton, etc.  Another thought was doing a collegium, but opening it up to the public, advertising it. Out here there are many crafty groups, and if we ran a collegium with an emphasis on textile arts, advertised it directly to groups like the embroiderers and the spinners & weavers, I reckon we could both fundraise and get more well known (I've done a few talks on invite). So I'm asking Darton if people would be willing to come along and teach, and the council if they would be willing to underwrite it. We would probably try to hire the courthouse in Carterton, which has three meeting rooms and a commercial kitchen. Timing, probably July.” Comments: The comments from the meeting were all positive – yes we will all be keen to help out and assist. Just keep the shire informed of dates and happenings etc. We have no problem with funding the Collegium as required, to assist in recruiting and education in the Wairarapa. General Business: Archery Targets – Luan requested $100 to replace the current archery targets (especially needed for May Crown). – motion to approve – Tamara, Seconded – Bernard – approved by all. Tea-Towels – Madeleine advised that the cost for the shipping of the tea-towels was $8 rather than $5 as originally advised. – approved by all – Madeleine to provide receipts for refund to be actioned. Heraldic Project – Fiora requested $70 for printing Heraldic Trading Cards Free devices for all. Used for educational purposes. Motion to approve Asbjorn, seconded – Gordianus. Iarnulfr – Canvas buckets for sale – they hold water. Luan – Bulk order for Wax Stamps – customised each for device or badge- $15 each.
