EVENTS: May Crown 2019: Madeleine not in attendance at meeting – no official report has been received to the reeve as yet to finalise the event. Stabbython: No report has been submitted to Seneschal or Reeve. Helewys to follow-up with Kjartan. Darton Anniversary: DA happened. It was a small event. 3 people that were expected did not turn up. 1 was due to illness, the other 2 had car trouble. Currently the profit for the event is $798.41. Question – should we refund those that did not attend. The person that could not attend due to illness (Johanna’s friend) – was day tripping and paid $32. She was down for being off-board so the cooks were not allowing for her in catering numbers. – approved by everyone that full refund is justified. The 2 that had car trouble – suggest refunding the accommodation and the kingdom / SCANZ levies and late registration fees – as we are only charged for these for those that attend the event. The cooks had allowed for these 2 in their catering budgets – refund $25 + 5 + 10 = $40 each. This was to have been their first SCA event. – Approved by everyone to refund $40 each. (Nominated by Luan, seconded by Ulf) Shoot-A-Knight / Carterton Daffodil Day: Thank you to those that attended and assisted at this event. Banked - $342.40. Less the $100 stall fee – the profit for the event is $242.40 (no refund for broken arrows will be made as they were old stock). We have has 1 follow-up enquiry directly related to this event. A few business cards were handed out. Question – should the profit be used against the Expo-costs or for the Hamlet funds? - discussion decided that it would be an unnecessary burden on the Reeve for the short-term to keep these funds separate. Can be reviewed for future events as Hamlet grows. UPCOMING EVENTS: Hamlet Day – this coming Saturday – 14 August 2019 at Willowgate in Carterton. 11am – 4pm, bring contribution for shared lunch. Day of Fun – Making Hot stuff – Reminder this is happening on 21 September 2019 – from 10am until ? The goal for this day is to make pegs for the second sun-shade. What do we need to bring / organise? – Chris M, Iarnulfr & Deigo will bring necessary equipment. GENERAL BUSINESS: New Events: No new events proposed. Other New Business: Discussion was held about the storage of Marienna’s Kiln, which is was collected after the Daffodil Day event. Decided Helewys will discuss this with Kazimira and Kjartan. If cannot be stored at Elmwood, will discuss with Peter and others regarding storage / use options. Web-site: Helewys has been asked by William de Cameron that the website be up-graded. Darton’s website is the last one in the Crescent Isles which is hosted by William. Apparently the version of the system that it was created and using is no longer being supported, maintained by the developers, so we need to upgrade. Jen G has offered to work with William in this regard in updating our website. Jen will be here at the October council meeting to discuss what we want the website to do, how we envisage it to look and any other issues etc. It would be good if everyone has a think about this, and write down and send to me your thoughts and wishes about how the new version of the website should look and what it should be able to do. It would also be good if you can provide specific text for the various pages that you think should be on the website – for example a page for Heavy combat, page for Archery, page for Rapier, page for Arts and Sciences etc. Any other General Business: Luan stated – Thank you to all the Volunteers that turned up to Shoot-A-Knight.
