Starting with receiving notification on the Friday evening before the Day of Fun, that all face-to-face events within the Kingdom of Lochac are to be cancelled during March and April, and with other discussions that I am aware of, it is looking likely that this will extend to the end of July. Online events Helewys read the email received from the Kingdom Seneschal, and will post this to the Darton email discussion list for comments etc. Contents of the email follow: Greetings to the Seneschals of the Crescent Isles! I have the most awesome news for you! We have a go ahead for events, activities and meetings! This is only for NZ groups. Australia is on its way... What I have done is create a distinction between online events, activities and meetings. If you have any questions, please let me know. Online Event A scheduled digital activity that is sponsored by an SCA branch. This allows for court to be conducted, awards and announcements to be made, and registration of some form is required. As defined in Corpora, requirements for participants are still to be upheld: II Events B. Requirements for Participants at Society Events  Anyone may attend Society events provided they wear an attempt at pre-17th century clothing, conform to the provisions in Corpora, and comply with any other requirements (including but not limited to site fees or waivers) which may be imposed. At business meetings and informal classes, the requirement to wear pre17th century dress may be waived. All participants are expected to behave in an appropriate and respectful manner. Event bids and approvals are as per usual – a documented outline to be approved by the committee. If there is a financial aspect to the event, a discussion must occur with the Kingdom Seneschal. When considering the approval of an online event, please take the following details into account: •       Event Details •       Name of Event •       Sponsor Group •       Date: •       Start Time: •       End Time: •       Platform: •       Event Type: Collegium or other •       Event Details •       Steward details: •       Bookings details (if required) For my reporting purposes, I need to report to the Society Seneschal for variance on events in an online capacity. For this, I need answers to the following: •       Will this be a one off event? •       Is there a potential that court will be held? •       How will attendance be recorded? •       Will recording occur? •       Will there be any participation fees? Online Activity A regularly occurring digital activities sponsored by a group, such as Arts and Sciences. The approval for this can be give once if there is little difference between iterations. These meetings can be advertised on SCA official platforms (such as Facebook and group websites) and may occur on other platforms listed below, however if there is a variance to the platform, the Group Seneschal and Reeve must approve this via email. Approval process: approval through a branch council meeting and must outline the following: •       Time •       Day of Week •       How often •       Type of activity: Demonstration / interactive discussion using video. Online Meeting An regular or irregular meeting that may be designated as a group of people that have a common purpose such as branch councils, guilds and other SCA sponsored identities. These meetings can be advertised on SCA official platforms (such as Facebook and group websites). For regular council meetings, minutes and a list of attendees/apologies are still required. There is currently blanket approval for these meetings, and they must be held as per advertised. All other meetings may occur as per normal processes. For New Zealand Groups: There is no requirement for a record of attendance. Groups are able to use any online platforms. Again, if you have any questions or queries, please ask! There is one (1) refund to be made, for a payment made to attend the Sherwater Feast which has been cancelled. Marshal – Gordianus: Training on hold due to both mundane and Lochac edicts. People may be doing stuff at home, they may not. Scribal Warden – Iarnulfr: Nothing to report. Herald – Bernard: Not a meeting. No report received. Events: Planned events: The following events have been cancelled due to the Covid-19 Lockdown and Kingdom edicts issued on 13 March 2020: 14 March - Day of Fun; and 11 April - Easter Feast in Sherwater The following events are now tentative and likely to be cancelled: 9 May - Day of Fun (silk banners and Shield making); 13 June - Brewers Day; 4-5 July – The 2nd Stabbython; 24-26 July - Darton Anniversary – cancelled (see discussion below) It is hopeful that the following events will still occur, but uncertain at this time: 12 September - Day of Fun (working with hot stuff - making Portable Banner holders); Sometime in October - A Flight Shoot (still to be confirmed); 14 November - Day of Fun and War Practice; and finally 12 December - Sherwater Summer Feast. Upcoming Events: Darton Anniversary: Camp Wainui has been booked for 24 – 26 July 2020. The Invoice for the deposit was received, and due to be paid by 1 April 2020. However, for some reason, the payment was started but not completed within the required time. Helewys has been in communication (even though it has been a slow response) and was advised that any deposit paid will be refunded should we have to cancel. Helewys has been waiting for Camp Wainui to tell her what the final date that we need to notify the Camp that we are cancelling. Discussion was held, and it was decided that we should cancel the booking at Camp Wainui for the camping aspect of Darton Anniversary. When New Zealand mundane law allows for the traveling and gathering of people, to hold a different type of event (low-key) – such as a feast and tournament. General Business: Future DA bookings – Helewys confirmed that Brookfield’s has been booked for August 2021 and that requested ‘pencil bookings’ be held for the next 5 years with Brookfield’s for the 3rd weekend in August. Kjartan has proposed that, provided the Crescent Isles is declared Covid-free, in 4 weeks from now, that we hold an event as a “Celebration of Surviving the Plague”. This was seconded by Rainer. It will be necessary for before any such event is, planned, advertised and held that a ruling is made by Kingdom, that once the Crescent Isles are declared by our Government to be no longer in Levels 3-4 (and possibly 2), that the Crescent Isles can once again hold local events and meetings.
